            Summary: Notaoko is a local-first application. Your documents and notes stay on your computer. We don't collect, store, or have access to your content.
        

1. Who We Are

Notaoko is developed and published by Formal Technology Ltd, a company registered in England and Wales. This privacy policy explains how we handle your information when you use our software.

2. Local-First Design

Notaoko is designed to work entirely on your computer. Your PDF documents, notes, highlights, and all other content are stored locally on your device. We cannot access this data, and it never leaves your computer unless you explicitly choose to use cloud-based AI services.

3. What We Don't Collect

Your PDF documents or their contents
Your notes, highlights, or annotations
Your reading history or habits
Behavioural analytics or usage tracking
Cookies or browser tracking (we don't use cookies on our website)

4. What We Do Collect

License Verification: When you activate a license, we verify the license key with our licensing server. This involves:

Your license key
A hardware fingerprint (to enforce activation limits)
No personal information is required or collected during activation

Update Checks: Notaoko periodically checks for software updates. This transmits:

Your current app version
Your operating system version
No personal information is transmitted

Trial Period: During the 7-day free trial, the app functions without requiring any personal information. The trial is tracked locally on your device.

5. Third-Party Services

AI Features (Optional): If you use AI features (explain, summarise, translate, ask questions), the selected text is sent to your configured AI provider. By default, Notaoko connects to a local AI server on your computer, meaning no data leaves your device. If you configure a cloud-based provider (such as OpenAI, Anthropic, or others), their respective privacy policies apply to that data.

Payment Processing: Payments are processed by Paddle.com. When you purchase Notaoko, Paddle collects and processes your payment information, email address, and billing details according to their Privacy Policy. We receive your email address from Paddle to deliver your license key.

License Management: License keys are managed through LimeLM by wyday. The licensing system stores your license key and hardware fingerprint. See their Privacy Policy for details.

6. Data Storage

All your application data is stored locally on your Mac:

Application data: ~/Library/Application Support/Notaoko/

You have full control over this data. Uninstalling the app or deleting this folder removes all local data. We have no access to or copies of this data.

7. Data Retention

We retain minimal data:

Purchase records: Kept for accounting and tax purposes as required by law
License data: Kept while your license is active; can be deleted upon request
Support correspondence: Kept for 2 years to provide better support

8. Your Rights (GDPR)

If you are in the European Economic Area, you have the right to:

Access: Request a copy of any personal data we hold about you
Rectification: Request correction of inaccurate data
Erasure: Request deletion of your personal data
Portability: Request your data in a portable format
Object: Object to processing of your personal data
Complaint: Lodge a complaint with your local data protection authority

9. Refunds

We offer a 30-day money-back guarantee. If you request a refund, we will process it through Paddle and revoke the associated license key. See our Refund Policy for details.

10. Security

We take reasonable measures to protect any information we do collect:

All communications with our servers use HTTPS encryption
License keys are transmitted securely
Payment processing is handled by PCI-compliant providers

11. Children's Privacy

Notaoko is not directed at children under 16. We do not knowingly collect information from children. If you believe a child has provided us with personal information, please contact us.

12. International Transfers

Your license and purchase data may be processed in the United Kingdom and other countries where our service providers operate. We ensure appropriate safeguards are in place for any international transfers.

13. Changes to This Policy

We may update this policy occasionally. Significant changes will be communicated through the app or our website. The "Last updated" date at the top indicates when changes were last made.
